SUBJECT:       Description of Suites Available at the 2000 Annual Meeting

 

            Attached you will find floor plans and brief descriptions of the various suites that are available at the two participating hotels, the Marriott Wardman Park Hotel (formerly the Sheraton Washington Hotel) and the Hilton Washington and Towers in Washington, D.C. for the AALS Centennial Annual Meeting to be held January 5-9, 2000.

 

            To make a suite reservation for the 2000 Annual Meeting, please send the housing reservation form along with a cover letter requesting your first, second and third choices of suite types.  (The Annual Meeting registration and housing reservation forms will be sent to you under separate cover in late October.) Send the housing reservation form as instructed below. (Please note that the Annual Meeting Registration Form is sent to a different location than the Housing Reservation Form.) 

 

            Your hotel reservation requires a mandatory deposit by check or credit card. The housing service will not make your reservation unless a deposit is provided.  The deposit is $108 for a suite at either hotel. Credit cards will be billed immediately.  Official confirmation of your suite and hotel selection will be sent to you from the Washington, DC Convention and Visitor Association (WCVA) Housing Service.   Please note that you must register for the Annual Meeting in order to receive the convention room rate.

           

èIf paying deposit by credit card, you may fax the form and letter to WCVA Housing Service at (202) 289-8079.

 

èIf paying deposit by check, mail form, letter and check (made payable to WCVA Housing Service) to: WCVA Housing Service, 1212 New York Avenue, N.W., Suite 600, Washington, DC 20005.

 

            If your first choice of a suite is no longer available and there is a comparable suite (description and price) available at either hotel, the WCVA Housing Service will automatically assign it.  If a suite type is not available and the next available type is an increase in price per night, the WCVA will call you with your available options.

 

            Changes and  cancellation of your hotel reservation before December 17th can be made after you have received your confirmation by contacting the WCVA  Housing Service by phone (800) 535-3336 or fax (202) 289-8079.  After December 17th, changes and cancellations can only be made directly with your assigned hotel.

 

            If you cancel your hotel reservation before December 17th, a full refund of your deposit will be made by check or to the credit card used to make the deposit for your hotel reservation.  If you cancel after December 17th but before 6:00 p.m. on the date of arrival, a refund of your deposit less $12.50 will be made by check only (not to the credit card used to make the deposit for your hotel reservation.)  No refunds are given if cancellation is received after 6:00 p.m. on the date of arrival.  Should you need to cancel your reservation, be sure to obtain a cancellation number from the hotel.
