MEMORANDUM 98-27
July 27, 1998
| To: | Deans and Planners of Member and Fee-Paid School Functions Held in Conjunction with the Association's 1999 Annual Meeting |
| From: | Mary E. Cullen, Meeting Manager |
| Subject: | Scheduling Your School's Functions |
The Association of American Law Schools will hold its Annual Meeting in New Orleans on January 6-10, 1999. The AALS Section programs, Plenary Session, House of Representatives meeting, registration and exhibits will be held at the Hilton New Orleans Riverside Hotel. Other events will be held at the Sheraton New Orleans and the Westin Canal Place Hotel.
Once again, we are pleased to invite you, on a space available basis, to plan your school alumni meal and reception functions in conjunction with this meeting. As a general rule, individual school functions are scheduled so as not to conflict with AALS program sessions.
The time slots available for school functions are listed below.

Please note that although law schools may have a speaker at an alumni function, schools otherwise may not present programs at the Annual Meeting. Should you want to hold a program, it would be held either before the Annual Meeting on January 6th or after the Annual Meeting, starting at 10:45 a.m. on January 10, 1998.
Events scheduled during the time slots listed in this memorandum (except those scheduled before 6:00 p.m. on Wednesday, January 6, or after 12:00 noon on Sunday, January 10) are included in the AALS Annual Meeting program booklet if the completed form is received no later than September 25, 1998. We will continue to schedule events into hotel meeting rooms for forms received after September 25th.
A copy of the Association's preliminary program is enclosed for your review.
After hotel space has been assigned to your school for its function, you will be notified by confirming letter of the name of the hotel, the name of its contact person, and the exact time and location of your meeting. A credit application and a set of menus will be enclosed for the specific hotel assigned. You will then be responsible for making all hotel arrangements with your designated hotel contact for such things as room set-ups, catering selections, audio visual equipment rental, signs and billing (directly to your school). Please note that the hotels will not charge you any room rental.
We are holding sleeping rooms at the Hilton New Orleans Riverside Hotel, the Sheraton New Orleans and the Westin Canal Place Hotel. Reservations can only be made with the AALS Hotel Reservation form which is included in the Annual Meeting brochure which will be sent to you with the meeting registration form in late October. The Annual Meeting pre-registration fees must accompany the meeting Pre-Registration Form and Hotel Reservation Form in order to be processed.
Enclosed is a form that you are asked to complete in order to schedule your functions at the Annual Meeting. This information will assist us in assigning a specific time and place for your function based on the requirements you specify on the form.
To insure inclusion of your function in the final AALS Annual Meeting program, the deadline for receipt of your meeting plans is September 25, 1998. Forms received after September 25th will be assigned meeting rooms; depending on the date of its receipt, your function may be listed in the Supplemental Program which appears in the AALS Convention Newspaper. The sooner you submit your form, the better chance you will have of getting your preferred space assignment.
Should you have any questions regarding the scheduling of your event, please contact Mary Cullen, AALS Meeting Manager at (202) 296-8851 or email mcullen@aals.org.
