Meeting Information HOTEL RESERVATION INFORMATION Complete instructions on how to register for the Annual Meeting and make hotel reservations can be found with the housing and registration forms (brochure insert). To emphasize some information: You may make your hotel reservation one of four different ways: Online: Reservations may be made online by following the instructions at www.aals.org/am2003/. By Phone: US & Canada (800) 492-7886; International (847) 940-4211. Phone reservations are limited to 5 per call. Requests for more than 5 reservations must be submitted in writing. By Fax: US & Canada (800) 521-6017; International (847) 940-2386. Incoming fax service is available 24 hours a day, 7 days a week. Credit card only. By Mail: Mail to AALS/WCTC Housing Bureau, 108 Wilmot Road, Suite 400, Deerfield, IL 60015. The Housing Bureau is open Monday through Friday, 8:00 a.m. to 5:00 p.m. Central Standard Time. Do not send housing forms to AALS. Only your Annual Meeting Registration Form and payment are sent to AALS. You must register for the Annual Meeting in order to be eligible to receive the discounted convention room rate. How will my hotel reservation be confirmed? The AALS/WCTC Housing Bureau will send out confirmations by mail, fax or email within 72 hours of processing your reservation. Reservations made by phone will be confirmed immediately with a confirmation number. The hotels do not send out confirmations. If you wish to check on the status of your reservation, call (800) 492-7886. How do I make changes to my room reservation? Changes and cancellation of your hotel reservation before December 18 can be made once you have received confirmation from the Housing Bureau, by contacting the Housing Bureau at phone (800) 492-7886 or fax (800) 521-6017. After December 18, wait until December 26 and call your assigned hotel directly for any changes or cancellations. The hotels’ phone numbers are: Marriott Wardman Park (202) 328-2000, Hilton Washington & Towers (202) 486-3000. Will I receive a refund of my deposit if I cancel my reservation? Cancellation of your hotel reservation before December 18: contact the Housing Bureau by phone (800) 492-7886 or fax (800) 521-6017. A full refund of your deposit will be made to the method of your original payment (check or credit card.) Refunds from the Housing Bureau will be issued within 48 hours. Cancellation after December 18 but before 6:00 p.m. on the date of arrival: contact your assigned hotel. A refund of your deposit less $18.00 will be made by check only (not to the credit card used to make the deposit for your hotel reservation.) No refunds are given if cancellation is received after 6:00 p.m. on the date of arrival. Should you need to cancel your reservation, be sure to obtain a cancellation number. Refunds from the hotels will be issued within 30-90 days from the date of cancellation. What If I Have Not Received my Hotel Assignment by December 18? In the event you have not received your hotel assignment from the Housing Bureau by December 18, call the Housing Bureau at (800) 492-7886 and request a status report of your reservation. BADGES FOR CHILDREN Come to the AALS On-Site Registration Desk and ask for a colorful badge for your children who are with you at the Annual Meeting. AIRLINE DISCOUNTS AALS is pleased to announce that it has been able to secure special discounts with both United Airlines and Delta Air Lines. Reservations can be made by you or your professional travel consultant. United Airlines offers a 5% discount off the lowest applicable fare, including First Class, and 10% off the unrestricted mid-week coach fares when purchased 7 days in advance. An additional 5% discount will apply when you purchase your tickets at least 30 days in advance of departure. Discounts apply on United and United Express. Call United toll free at (800) 521-4041 and refer to the Meeting ID Number 598BS (7 days a week, 8:00 a.m.–10:00 p.m. EST.) Mileage Plus members receive full credit for all miles flown to this meeting. Delta Air Lines offers 5% off published round-trip fares (applicable restrictions must be met) within the continental U.S., Hawaii, Alaska, Canada, Mexico, Bermuda, San Juan, Nassau, U.S. Virgin Islands, Caribbean and 10% discount off unrestricted domestic coach fares with no advance ticketing required. An additional 5% will apply when ticketing 60 days in advance of departure. Special round-trip zone fares are also available within the continental U.S., Hawaii, Alaska, Canada, Mexico, Bermuda, San Juan, Nassau, U.S. Virgin Islands, Caribbean for savings on mid-week travel to the meeting (two day minimum stay; no Saturday night stay required; 7-day advance ticketing; fares fully refundable). Call Delta Meeting Network toll free at (800) 241-6760 and refer to File Number 191184A (Monday–Sunday, 8:00 a.m.–11:00 p.m. EST). AIRPORT TRANSPORTATION Reagan National Airport is located approximately eight miles from the Annual Meeting hotels; taxi fare should be $20.00 one-way (use non-metered D.C. cab). Super Shuttle provides shared ride, door-to-door service (with other stops) to the Marriott Wardman Park and the Hilton Washington at a cost of $9.00 each way. Advance reservation is required 24 hours in advance for the return to the airport. To ride the Metro (subway) from Reagan National Airport , take the Yellow Line to Gallery Place and change to the Red Line (heading towards Shady Grove) to the Dupont Circle Metro stop for the Hilton Washington or the Woodley Park-Zoo Metro stop for the Marriott. Dulles International Airport is about 27 miles away; taxi fare is approximately $45.00 (Washington Flyer operates the cab franchise); each additional passenger to the same location is $1.00. Call (703) 661-8230 to pre-order a cab. Super Shuttle provides shared ride, door-to-door service (with other stops) from Dulles to the hotels for a fare of $20.00 ($10.00 for each additional passenger traveling with you) each way. The Super Shuttle booth is located at the baggage claim or you can buy a ticket from the driver. Twenty-four hour advance reservation is required for the return to the airport. Baltimore-Washington International Airport (BWI) is approximately 90 minutes from the Marriott Wardman Park. Super Shuttle provides shared ride, door-to-door service (with other stops) to the convention hotels for a fare of $30.00 per person ($10.00 for each additional person traveling with you), each way. Payment is by cash or credit card. Twenty-four hour advance reservation is required for the return to the airport. MARC Train runs round trips from Baltimore-Washington International Airport to Union Station in Washington, D.C. (A free shuttle runs from the airport to the Marc Train station.) One-way fare is $5.00, round-trip is $8.75; Visa and Mastercard accepted. The trip to Union Station will take 38 minutes. From Union Station you can take the Metro Red Line directly to the Dupont Circle Metro stop to walk to the Hilton or exit at the Woodley Park Metro stop for the Marriott, or take a cab from Union Station. Amtrak Train is served by Union Station. Taxi fare to the hotel from Union Station is $10.00, including rush hour costs. CITY TRANSPORTATION The Washington, D.C. subway system is called Metro. The Marriott Wardman Park is on the Red Line—use Woodley Park/Zoo stop. The Washington Hilton can be reached by exiting the Dupont Circle stop and walking up the hill (north on Connecticut Avenue). Metro hours of operation: Metro operates seven days a week. Rail stations open at 5:30 a.m. on weekdays, 7:00 a.m. on Saturday, January 4 and 8:00 a.m. on Sunday, January 5. Metro closes at midnight (2:00 a.m. on Fridays and Saturdays) When traveling late at night, be sure to check the scheduled departure time for the last train. At many stations, the last train departs before midnight (2:00 a.m. on Friday and Saturdays) so it is important that you allow enough time to enter the system and board the train. Last train departure times are posted at each station kiosk. CAR RENTAL (DISCOUNTED) AVIS Rent A Car is offering AALS registrants daily, weekly and weekend discounted rates for this meeting from Reagan National, Dulles and Baltimore-Washington Airports. AVIS will automatically offer at the time of booking either the lowest qualifying rate less 5% discount, or the convention rate; whichever is less. To make a reservation, call 800-331-1600 or online at www.avis.com and refer to Avis Discount Number J097592. Advance reservations are recommended. AVIS will pass along to AALS meeting attendees any frequent flyer agreements between AVIS and any airline in effect at the time the reservation is made. CHILD CARE For those requiring child care services during hours in which AALS meetings and activities are occurring, a Children’s Activity Center will be located in the Marriott Wardman Park Hotel. The Center will be staffed with professional, specially-trained supervisors who are CPR and Pediatric First Aid certified, along with others who enjoy working with children and have completed a specialized training program. Children aged 6 months to 12 years are welcome. Play materials, toys for all age groups, games, videos, etc. will be provided, and age-oriented activities will be planned for the children. AALS will be paying a portion of the costs for this program, but parents will also be required to pay fees based on age of the child, number of days the activity center is used, and whether half-day or full-day services are required. Information, including fees, hours, registration procedures, etc. is detailed on the special child care registration form which is posted on the AALS website at www.aals.org/am2003/childcare.html. Please register as early as possible; space is limited. They are a member agency of the Washington, D.C. Convention and Visitors Association. Call the Hotel Concierge at extension 5130 or call the agency directly to arrange for babysitting. Neither the D.C. Convention and Visitors Association for AALS recommends this or any other agency but provides this information for your reference. PARKING The Marriott Wardman Park garage (202) 328-2000, located on the Woodley Road entrance to the hotel, is open 24 hours a day; self and valet parking available. Payment can be charged to the guest room for hotel guests. Cash is accepted for non-hotel guests. In-and-out parking is available for both hotel and non-hotel guests. Rates are $19.00 plus tax for 24 hours for self-parking and $23.00 plus tax for 24 hours for valet parking. The rates are the same for hotel guests and non-hotel guests. DISABILITY RELATED ACCOMMODATIONS The Annual Meeting hotels are in compliance with the American with Disabilities Act. All public areas are accessible and sleeping rooms with special accommodations are available for those with disabilities. Please list any special requirements for your sleeping room on the AALS Housing Reservation Form.
